expense claim - small but unnecessary suffering for workers
Editing ICreative 9-Oct-2017 12:35:28
Claim management is not really high on the agenda at most companies. And that is striking, because this subject leads to recurring frustration among employees. Especially among those who are regularly on the road and lose time every time with the expense claim of a seemingly endless stream of receipts. For example, because the process includes many manual (and error-prone) tasks. At a time when good staff is difficult to find and retain, companies would do well to simplify the process of claiming expenses.
Little insight, no policy on expense claim
This is Peter Derksen, account manager at ICreative: 'As a rule there is little focus within companies on expense management. And that is really a lack in these times because as a company you want to keep your employees happy. But also internally it can lead to problems: in a poorly automated way there is often no total overview of these hidden costs. And that, in turn, makes it difficult to make appropriate policies in this area. In my daily practice, I notice that people often think that the consequences of not setting up declarations properly are 'not too bad'. When I then calculate for them on the proverbial beer mat how much time goes into the process of submission, processing and correction, they are shocked.
Low-hanging fruit
'What I also notice is that people experience it as a barrier to convert a current working method into a good process flow. And that while improving the claims process is low-hanging fruit. The technology is quick and easy to implement. For example, using the accompanying app, employees take a picture of the receipt in question via their mobile phone. Once they have sent this, they can get on with the tasks that really matter: making billable hours, for example,' Peter laughs. And by allocating the correct cost centers in advance, expense claim automatically ends up in the right place within the organization. And the employee? He gets automatic feedback of approval and a message that payment has been made. And counting kilometers between A and B? That is no longer necessary, because a smart link with Google Maps automatically registers the correct number of kilometers.
Letting people do what they do best
'You could compare the convenience of our solution to the apps that health insurance companies offer their clients these days. The endless entering of numbers and other data is now a thing of the past. Or think of the apps for parking, with which parking is no longer a hassle with receipts and pay machines. This is another solution that makes life just that little bit easier and saves time. Let employees do what they do best: create value in creative ways for themselves, for colleagues and for customers. And do not tire them with delaying matters such as receipts and administration. Precisely because much of this work can be taken out of their hands quickly.
