Efficient management of indirect procurement processes

The latest updates in Basware software make managing indirect procurement processes easier and more efficient. In this blog, we explain five key enhancements, including updated filters, search categories in the central procurement platform, new menu options, and more. Read on to discover how these updates can optimize your indirect procurement processes.

 

New filter for expired agreements

It is now possible to easily manage expired agreements in Basware's central procurement platform. The "Expired" filter has been added to the "Manage Resources" page. You can find this filter by going to Groups, clicking the gear icon for "Manage Groups," and then clicking the gear icon again for "Manage Resources." This will open the "Select Agreements" page.

With the filters, you can do the following:

  • Expired filter: Displays only expired matches.
  • Available filter: Shows only available matches.
  • Added filter: Shows both added and expired matches.

This enhancement provides a clear overview and helps organizations track and manage expired agreements efficiently.

 

Search categories and filters in the central purchasing platform

One of the most powerful updates in Basware is the introduction of search categories in the central procurement platform. This allows Product Manager administrators to guide users in their searches by offering specific categories and filters.

Benefits of the new search categories

  • Targeted searches: Organizations can add filters, such as suppliers or price ranges, to tailor search results to specific criteria.
  • Practical example: If you want to offer only laptops from HP and Dell, you can set up a filter with criteria "Supplier" and options "HP" and "Dell."

Available filter criteria

  • Show preferred items
  • Price Range
  • Eco-friendly items
  • Classification
  • Content Tag
  • Contract Reference
  • Supplier

These filters are displayed in the "All Categories" menu and on the landing page of the central purchasing platform. This provides users with a streamlined experience and allows them to find the right products faster.

 

New menu options: Quick Source and External Requisitions

Two new menu options, Quick Source and External Requisitions, have been added to the second level of the menu under the Shop tab. These options are visible to users with access to these features. This makes it easier to quickly access essential tools within Basware, making indirect procurement processes smoother.

 

Filter catalog items by similarity

Suppliers often offer one price list to multiple customers, resulting in unnecessary items in the central procurement platform. To address this issue, Basware is introducing new Item Filters functionality in Organization and Agent agreements.

How does it work?

  • Administrators can filter items based on a set of UNSPSC codes.
  • Only items that fall within the defined code ranges are displayed in the central purchasing platform.

Key benefits

  • Up to 10 rows of UNSPSC codes can be added.
  • Once the codes are saved, the agreement must be published and linked to a view to make the filtered items visible.

This feature saves time and prevents manual exclusion of items, resulting in a clearer purchasing platform.

 

Importing code lines from Excel to a spending plan

With the latest update, code lines can be imported directly from an Excel file into a spending plan. This makes it easier and faster to create new plans and code existing ones.

  • Reduces manual labor.
  • Increases accuracy and speed in managing spending plans.
