On Tuesday, September 10, another four Basware professionals successfully completed the "Professional Client - Invoice and Matching" training. The participants not only received an explanation of functionality, but also tips on how to work smarter with colleagues or suppliers.
For half of the group, everything was new; the other two trainees had been working with Basware for some time. For them, the training was partly a refresher course. 'The system opens a new window when you click on the invoice image. It then loads the image in color. If you have a second screen, you can drag it to the other screen,' trainer Mario Unkel informed. 'Yes,' agreed one of the participants. 'That's very handy indeed.'
What she didn't know yet, however, was that Basware can now also automatically resolve rounding differences. Definitely worthwhile, because if there is even a penny rounding difference, it results in an accounting discrepancy, which means no export can take place and the invoice must be reset to manual matching. So this does not need to be done. However, Basware users should ask their consultant to make this happen.
Unkel's training, however, extended beyond just explaining functionality. In practice, he often sees that processes can be arranged more conveniently or better. These are things that are not always obvious. 'If you can make a dump of your top 10 suppliers, we can check for you whether these suppliers can already send xml. For this we need the name, country code and VAT number. This way you can ask the suppliers who are not yet able to send xml to do so in the future. That saves a lot of work scanning and/or validating.'
Acceptance of the system was also discussed. 'Personalizing standard e-mails from Basware can help create engagement with budget holders. Sometimes budget holders think it's spam. If you make the email more recognizable with a clear salutation, give a clear reason why they are receiving this email and, for example, you make a reference to your intranet with an instruction, this can have a tremendously positive effect," Unkel said.
He also hears many customers asking why they can't delete collaborations. "It's true that they can't, because Basware sees that as history. With one of our customers who really wanted this out of the picture, we therefore created a workaround. Old collaborations are now no longer shown but still remain in the system.'
Finally, Unkel talked a bit about Payment Plans and demonstrated some of the conveniences in Basware Analytics. 'For example, you can investigate why supplier x's match rate is so low. If you know what the cause is, then you can take appropriate action," Unkel said.
