Last Thursday, June 20, four Basware professionals successfully completed the "Professional Client - Invoice and Matching" training. The participants, who have all been working with Basware for some time, learned how to further optimize the invoicing process.
Login - Session expired. That was read on the screen at the start of the training. A familiar screen for the participants. All but one: 'I'm constantly in the system, so this never really happens to me.' Among the other participants, it aroused irritation. 'Oh, but we can adjust this these days. We can extend the time before the system automatically logs off,' trainer Mario Unkel informs them. 'This option is in user management.'
So the first tip was in before the actual training began. In it, Unkel guided participants through various functions and features in Basware SaaS and gave tips on coding, workflow and matching. The ways of working shown, the participants could then hold up against their own situations.
Practical Tips
The tips were mostly practical in nature. For example, he showed that when using booking templates, it is more convenient not to enter the amount but to use the percentage and that some standard Basware emails can be personalized to make the emails more effective.
"Often people are used to picking up invoices that have just come in new, but it may be more convenient to work from the due date. By prioritizing the processing of these invoices, potential payment discounts will be met, and ultimately it will be less frequent that certain invoices need to be handled "urgently," Unkel continued the three-hour training. 'Filtering allows you to see which invoices are approaching their due dates.'
Unkel also explained how Accounts Payable staff can create an export from data management for someone who does not have access to the system, such as the accountant. "This export is in the browser, and if you click on the invoice number, you have all the invoice data at hand.
In addition, the topic of payment plans came up and participants were able to ask their own questions. 'About matching, I could talk for hours,' Unkel said. 'But that's why we have separate training for that.'
