What is Document Capture?

Document capture stands for converting information from paper and PDF documents to structured data files.


From paper and PDF to data

To convert information on paper documents and PDF documents (without a data layer) to a data file, so-called scan and capture or object character recognition (OCR) software, such as that from Kofax, can be used.

The business world is very much in a digital transformation. In that transformation, paper documents and PDF documents are still regularly used. While a PDF document is digital, most PDF documents have no data layer. They are nothing more than digital images to be read by humans.

To automate business processes such as invoice processing, information will need to be converted to data files.

PDF documents received or self-created from scanned paper documents can be automatically converted to a data file using OCR software. In the software, you can set how the information on a specific document should be converted. In other words, that an invoice number on a document is also stored as such in the data file.

Document Capture outsourced

Digitizing documents can be a time-consuming activity. Digitizing documents such as supplier invoices can be outsourced, using open, business transaction networks in which document conversion occurs.

The great advantage of a business network like the Basware Network is that parties connected to the network can send documents to each other without having to consider the receiving party's preferred format. Suppliers, for example, can send paper or PDF invoices to a customer, but over the network, and the customer will receive standardized data files that can be further processed immediately and automatically.
